From buyer inquiry to won export order.
The hard part of export sales often isn't getting inquiries. It's what happens next. Prythos turns every inquiry into a structured path to revenue, so the right deals get your attention first and none of them slip away.
Prythos is launching soon. This page shows how it is designed to work.
Every inquiry moves through five steps, and every outcome sharpens the next one.
- 01 · CAPTURE (From the RFQ) → A structured opportunity: The email becomes a clear record of what the buyer wants
- 02 · QUALIFY (Is it worth pursuing?) → Clear priorities: Opportunities ranked, with what is missing listed
- 03 · QUOTE (The commercial offer) → A complete offer: Pricing, Incoterms, MOQ, lead time and validity in place
- 04 · FOLLOW UP (After the quote) → No deal quietly slips away: Each opportunity's stage tracked, the next action ready
- 05 · LEARN (The outcome) → Revenue intelligence: Outcomes and reasons show what actually wins. Each outcome sharpens the next inquiry.
A Monday morning, with and without Prythos
Here is the problem, and what changes, told through one exporter's Monday. Meera and her company are fictional. This is an illustrative story, not a customer case study.
Meera runs export sales at a mid-sized manufacturer of auto components. Over the weekend, three inquiries arrived. One is a clear RFQ from a buyer in Rotterdam. One is a forwarded email chain with the specifications buried halfway down. One is two lines from a buyer she has never heard of: “Need price for 5,000 units, CIF.”
She opens the first email, then the catalogue, then last quarter's quotation file, then a spreadsheet. By the time she has worked out which inquiry deserves her effort, it's afternoon. The quote goes out two days later.
Then the week fills up with other work. The Rotterdam buyer asks for revised packaging and Meera means to reply, but the email slides down the inbox. Three weeks later the order goes to another supplier. Nobody can say whether it was price, lead time or silence.
Same inbox. Same three inquiries. The difference is what happens between the email arriving and the order being won. It happens in five steps.
- ✓ By the time she sits down, inquiries are structured records.
- ✓ Rotterdam moves to top: product match, serious quantity, viable port.
- ✓ Quote is prepared with Incoterms, MOQ, and validity. Sent before lunch.
- ✓ Follow-up runs as an automated system instead of slipping down the inbox.
- ✓ The outcome is recorded with reasons, sharpening the next quote.
Five steps from inquiry to won order
The Prythos Export Revenue Agent follows every inquiry through the same five steps: RFQ, qualification, quote, follow-up and outcome.
The email in your inbox becomes a structured opportunity.
International buyers send RFQs by email and other business channels, and they rarely arrive tidy. Specifications are scattered, quantities are implied and the target price is buried in a thread. Prythos reads the request, pulls out the commercial details and turns it into a clear opportunity record.
- • Product requirements and specifications
- • Quantity and target price
- • Destination and Incoterms
- • Delivery requirements and required shipment date
- • Certifications and packaging requirements
- • Payment terms & buyer information
A clear view of what the buyer actually wants, in one place, without copying details by hand.
You know which opportunities deserve your attention first.
Not every RFQ deserves the same amount of attention. Prythos checks each opportunity against what you actually sell and can deliver, so you can decide where to spend your time instead of treating every inquiry equally.
- • Is this buyer relevant & does product match?
- • Can we fulfil the requirement & is quantity attractive?
- • Is the destination viable under compliance norms?
- • What information is missing?
- • How should this opportunity be prioritised?
Your opportunities in priority order, with the reasons behind each and a clear list of what is still missing.
A commercially complete offer, not just a drafted email.
The goal isn't to generate an email. It's to produce the right quotation. Prythos uses your business context, product information, pricing rules, past quotations and commercial terms to help prepare a response that covers what the buyer needs in order to say yes.
- • Products, specifications and quantities
- • Deterministic pricing rules and currency
- • Incoterms, MOQ, and lead times
- • Payment terms, validity date, and commercial notes
- • Certifications and compliance documentation
A response you can stand behind, prepared with far less manual work. Exporter checks the price and approves.
No valuable opportunity quietly disappears.
A lot of the trouble in export sales starts after the quote goes out. The buyer asks for a better price, wants revised specifications or samples, compares suppliers, goes silent, or comes back weeks later. Prythos keeps track of each conversation and where every opportunity stands.
- • Buyer asks for price adjustment
- • Buyer requests revised specifications or samples
- • Buyer negotiates payment or delivery terms
- • Buyer goes silent or delays decision
- • Buyer returns weeks later
Follow-up that runs as a system, not a habit.
You learn what actually generates export revenue.
“Won” or “lost” is not the whole story. Prythos records what happened to every opportunity and why, so your revenue process starts to teach you something.
- • Which buyers convert?
- • Which products produce the strongest opportunities?
- • Which countries generate better business?
- • Where are deals getting lost, and is pricing the problem?
- • Where is revenue leaking from the pipeline?
An intelligence layer around your revenue process, so you make a better decision on the next inquiry than you did on the last.
Not an email assistant. Not another CRM. Not a dashboard.
Prythos is built to move opportunities toward revenue. That is a different job from the tools you may already use.
| IF YOU USE | IT TYPICALLY LEAVES YOU WITH | PRYTHOS INSTEAD |
|---|---|---|
| An AI email assistant | A drafted reply, without your products, prices and terms behind it | A quotation workflow built on your own commercial context |
| A CRM, even one with AI features | A record you have to keep updating yourself | An agent that tracks the stage of each opportunity and works out the next action |
| A trade-data dashboard | More data, more tabs and no clear next step | A decision: which opportunity to pursue and what to do about it |
“Don't give businesses more data. Give them better decisions.”
You stay in control
Prythos is designed to take the manual work out of your revenue process, not the judgment. You decide which opportunities to pursue, what to quote and what to commit to. The agent does the reading, structuring, preparing and tracking around those decisions.
